The workflow audit tells us which tier fits your situation, and we recommend the simplest level that solves the problem. There is also a step before the tiers: if your process still runs on spreadsheets, WhatsApp and paper, digitalisation comes first, because an agent can only reason over data it can read.
What if our process is still on spreadsheets and WhatsApp — are we too early for AI?+
You are not too early, but AI probably isn't the first step. An AI agent reasons over the records you give it, so if the same customer detail lives in a spreadsheet, a WhatsApp thread and one person's inbox, the agent sees a fraction of the picture and answers confidently anyway. That is worse than no agent. The usual sequence is to map how the process actually runs, put it into a system — often by configuring a proven platform rather than building from scratch — move the work onto it, and then add AI on top of the structured data. Pexalo is headquartered in Kuala Lumpur, Malaysia, and our primary focus is Malaysian SMEs. We also work with select international clients across Southeast Asia, ANZ, and the UK. Our engagements are primarily remote, which means geography is rarely a barrier. Discovery sessions, audit reviews, and ongoing support are all handled via video call and async communication.
Do I need any technical knowledge to work with Pexalo?+
No. We handle all the technical design and build. Your input is operational: helping us understand your workflows, what data you work with, and what good outcomes look like. We work with business owners and operations leads, not technical teams.
Our Process
What is a workflow audit and why do you start there?+
A workflow audit is a structured review of how your business currently operates: where your team spends time, which processes are manual, and where the bottlenecks are. We start here because building the right agent system requires understanding the real problem first. Skipping this step is why most AI implementations fail.
How long does the workflow audit take?+
Most audits are completed within one to two weeks. We work through a structured process with your team, typically a combination of a discovery session and follow-up questions, to map your current workflows and identify the highest-impact opportunities.
What happens after the audit?+
We deliver a recommendation that outlines the specific agent system we'd build, which workflows it would automate, what inputs and outputs it would handle, and what results you can reasonably expect. From there, you decide whether to proceed to build.
What do I need to provide to get started?+
Access to context about your operations: which tools you use, what your team's day-to-day looks like, and where the friction is. You don't need to prepare documentation or a technical brief. We ask the right questions during the audit to gather what we need.
Will building an AI system disrupt our current operations?+
Not meaningfully. We design agent systems to run alongside your existing processes initially, with a validation period before any manual process is retired. Your team won't be thrown into change overnight. We transition carefully and only move fast where you're confident.
Pricing & ROI
How much does it cost?+
The workflow audit is free and is where every engagement starts. All pricing is quoted in Ringgit Malaysia (RM). From there, build pricing depends on the tier and scope of the agent system. Tier 1 automations are the most straightforward and lowest cost. Tier 2 single agents and Tier 3 agentic systems are priced based on complexity. All builds include a monthly monitoring and support fee after go-live. We share a full cost breakdown as part of the post-audit recommendation. Government digital grants such as the MSME Digital Grant Madani exist, but grant-funded purchases must go through an MDEC-registered provider, and Pexalo is not registered yet.
How quickly will I see results?+
Most clients see measurable impact within the first month after go-live. The timeline depends on the workflow. A reporting automation delivers results immediately on launch, while a lead qualification agent may take a few weeks to calibrate. We set clear benchmarks before build so you know what to expect and when.
What if the agent doesn't deliver what we expected?+
We define success metrics before we start building, and we hold ourselves to them. If performance falls short during the validation period, we work to resolve it before moving to full deployment. We don't consider a project complete until the results match what we committed to in the recommendation.

What AI models do you use?+
We use leading frontier models, selecting the right model for each task based on capability, speed, and cost. The model choice is part of the system design, not something we lock you into. As models improve, we update the systems we monitor to take advantage of better performance.
Can the agent learn and improve over time?+
Within the monitoring and support arrangement, yes. We track performance against benchmarks, identify where agents are underperforming, and push improvements. Agents aren't static. They're maintained the same way good software is maintained.
Security & Data
Is my business data safe?+
Yes. We follow strict data handling practices, use encrypted connections to your systems, and do not store your operational data beyond what is needed for the agent to function. We can share our full security documentation on request.
Who has access to my data?+
Only the Pexalo team members working directly on your account. We do not share your data with third parties, and the AI models we use are accessed via API under agreements that prevent your data from being used for model training.
Are you compliant with data protection regulations?+
We design all systems in compliance with Malaysia's PDPA (Personal Data Protection Act 2010) and GDPR where applicable. If your business operates in a regulated industry with specific compliance requirements, we discuss those during the audit and factor them into the system design.
Support
What support do I get after the agent is launched?+
All Pexalo clients on the monitoring arrangement receive ongoing performance tracking, proactive alerts if an agent underperforms, regular review sessions, and direct access to the team for questions. You're not handed documentation and left to manage it yourself.
Can the agent be updated or expanded over time?+
Yes. Most clients expand their agent systems after the first deployment, once they've seen the results. Adding new workflows or connecting additional systems is straightforward because we build on a modular architecture from the start. Expansion work is scoped and priced separately.
What if my team isn't comfortable with AI?+
This is one of the most common concerns we hear, and one of the most manageable. We design for adoption. Agents are introduced alongside existing processes, not as a replacement for them. We also run brief walkthroughs with your team so they understand what the agent does and why, which makes adoption significantly smoother.
Do you offer training for our team?+
We include a handover session as part of every build, covering how the agent works, what it does and doesn't handle, and how to flag anything that needs attention. For larger teams or more complex systems, we can arrange broader training as part of the project scope.
