Digitalisation

From pen and paper
to a business that
runs on a system.

Many Malaysian SMEs still run on order books, paper job cards, WhatsApp threads and spreadsheets. We build the software your business runs on, tidy the data you already have, then add AI agents that handle the data entry, the follow-ups and the reporting. Because we build with AI, it costs far less than custom software used to.

What it is

What is digitalisation?

Digitalisation means turning the way you already work into software: one place where jobs, customers, documents and money are recorded once, in a structure that matches how the work actually moves. For many Malaysian SMEs that system does not exist yet. The process runs on paper, messages, spreadsheets and habit, which works until volume grows.

Digitalisation is the step that turns that process into data, and it includes the data you already have: years of customer, sales and job records sitting in spreadsheets, inboxes and old systems, collected and cleaned into one structure. It is also the step most AI projects skip, which is why so many of them fail: an agent can only reason over information it can read, and scattered copies of the truth are not information.

"An agent built on scattered spreadsheets produces confident nonsense. That is worse than no agent at all."

What we build

What it replaces, and with what.

Every build is shaped to the business, but most start by replacing some of these.

→

Order books and paper job cards

A live job board. Every order or job has a stage, an owner and a due date, and anyone can see where it is up to from their phone.

→

Receipt books and handwritten invoices

Invoices generated from the job itself, numbered properly and ready for LHDN e-Invoicing, with payment status tracked instead of remembered.

→

Log books, checklists and clipboards

Digital forms that staff fill in on a phone or tablet, with photos, signatures and timestamps attached, and nothing to lose or re-type.

→

WhatsApp threads and a shared spreadsheet

One customer record. Every enquiry, quote, order and conversation in one place, instead of scattered across chats and tabs that disagree.

→

Years of records in spreadsheets, inboxes and old systems

One clean dataset. We collect what you already have, merge duplicates, fix formats, flag gaps and keep the history, in a structure your reports and AI agents can read.

→

The owner's memory

A dashboard. Sales, late jobs, stock and cash owed, live, without asking anyone or waiting for month end.

Why now

AI made custom software affordable for SMEs.

Software built around your own business used to be something only large companies could justify. AI has changed the cost of building it, and we pass that on.

Built with AI, so it takes weeks, not quarters

We use AI throughout our own build: screens, logic, testing and moving your old records across. A system shaped around your business used to mean a large software-house quote and a long wait. It is now a focused project.

Made for your process, not a package

You do not pay for hundreds of features you will never open, and you do not bend the business to fit someone else's software. The system does what your business does, in the order it does it.

Agents designed in from day one

We build the software knowing which AI agents will sit on top of it, so the data is structured for them from the start. Adding the agents is the next step, not a second project.

Grants exist for this step

Digitalisation is what the MSME Digital Grant MADANI is designed for. Grant-funded purchases go through MDEC-registered providers, so confirm your eligibility and provider on MDEC's site first. We will tell you plainly what applies to you.

What it unlocks

Fix the process, and the hiring stops being the answer.

The point is not the software. It is that the business stops needing a person in the middle of every step.

One place the work lives

Customers, jobs, documents and money on a single record instead of five disconnected copies. The question "where is that up to?" gets answered on a screen rather than by interrupting whoever knows.

Visibility without asking anyone

Who owns what, what is late, what is at risk — live, from the same records staff already work in. No weekly report to compile, because the report is the system.

Volume without headcount

A process that only scales by hiring is a process that costs more every year. Once the steps, owners and targets are in a system, the next stretch of growth runs through the system instead of a new admin hire.

Yours, in writing

You own the system, the data and the logic at the end. Nothing is locked to us, and nothing sits in infrastructure you cannot take with you.

Do you need one?

Four signs the bottleneck is the process, not the headcount.

1

The business still runs on paper

Orders are written in a book, jobs on paper cards, receipts in a receipt book. It works, but every page has to be read, copied and chased by a person, and nothing can be searched.

2

The answer lives in someone's head

Your best staff member is the only one who really knows how the process runs. When they are on leave, the work slows down, and when they resign it leaves with them.

3

The same detail is typed in three times

A customer gives you information once and it gets re-keyed into WhatsApp, a spreadsheet and an invoice. Every copy is a chance to be wrong, and none of them agree by month end.

4

Nothing is late until someone complains

There is no target attached to a stage, so a delay is invisible until the customer raises it. By then the recovery costs more than the delay did.

5

Growth means another hire

Volume goes up, so an admin goes on. The new person learns the workaround rather than the system, and the process gets harder to change every time it happens.

"Hiring solves a process problem briefly, and expensively, forever."

Then the agents

Once the system exists, AI agents do the busywork.

The software gives the business one source of truth. The agents work on top of it, and a person still approves anything that goes to a customer.

1

Reads the paper you still receive

Photograph a supplier invoice, delivery order or handwritten form and an agent reads it into the system, so the paper stops being retyped by hand.

2

Chases what is late

Overdue jobs, unpaid invoices and quotes nobody replied to get flagged, and the agent drafts the WhatsApp or email follow-up for a person to approve.

3

Reports to you every morning

A short summary of yesterday: what was sold, what is late, what needs a decision. Sent to the owner on WhatsApp, written from the live system.

4

Answers questions in plain language

"How much did we bill this customer this quarter?" gets an answer in seconds, from the records, without anyone building a report.

Where it fits

The tier beneath the other three.

If your systems already hold clean, current data, skip this entirely and start at Tier 1. This tier exists for the businesses that cannot.

→

→ Tier 1 · AI Automation

Rules-based workflows that run the same way every time. They need somewhere to read from and write to, which is what this tier builds.

→

→ Tier 2 · AI Specialist

A single agent that reasons across one workflow. Its judgement is only as good as the records it reads, so the foundation sets its ceiling.

→

→ Tier 3 · AI Workforce

Multiple agents coordinating across departments. This is the tier that most depends on one consistent source of truth underneath it.

How it's built

Four steps, and the AI is the last one.

1

Map the process as it actually runs

Not the version in the SOP folder. We follow a real job end to end with the people doing the work, and write down every step, handoff, form and waiting period — including the ones that only exist in somebody's head.

2

Build the software around that process

Stages, owners, targets and the records the business actually keeps. We build it with AI-assisted development, which is what makes software shaped to your business affordable. Where a proven platform genuinely fits better, such as Zoho, Odoo or HubSpot, we configure that instead and tell you why.

3

Move the work onto it

Paper records that matter are digitised, existing data collected, de-duplicated and cleaned, live data migrated, staff trained on their own workflow rather than a generic demo, and a parallel period before anything manual is retired. The system has to be where the work happens, or it becomes one more thing nobody updates.

4

Then add the agents

Now there is structured, current data to reason over. Agents that read incoming paperwork, flag what is late, draft the follow-up and send the owner a morning summary. This is where Tiers 1 to 3 plug in, and none of it was possible before step three.

Common questions

Digitalisation, answered.

Do I have to replace the software I already use?+

Usually not, and we would rather you did not. If your accounting, e-commerce or messaging tools work, we connect to them. We build new only where there is nothing to connect to, or where a tool is actively holding the process back. The goal is one coherent operation, not a clean sweep.

We already have data, but it is messy. Can you clean it up so AI can use it?+

Yes, and that is often the fastest win. We collect records from wherever they live, such as spreadsheets, email, accounting software, old systems and paper, then merge duplicates, standardise formats, flag what is missing and load it into one structure. Your history then becomes something reports and AI agents can read, instead of something only one person knows how to find.

We still run on pen and paper. Is it too late?+

No. It is actually the easiest starting point, because there is no old software to untangle. We map how the paper moves today, build the system around that, and digitise the records worth keeping. Staff usually find the new system simpler than the paper, because it removes the copying and chasing rather than adding steps.

Why is custom software more affordable now?+

Because AI has changed how software is built. We use it to draft screens, logic and tests, and to move old records across, so a system that once needed a large team and a long timeline is now a focused project. You get software made for your process at a cost that makes sense for an SME, and you still own it at the end.

Is this a custom build or an off-the-shelf platform?+

Whichever costs you less over three years. Because AI has made custom builds far more affordable, software shaped to your exact process is now a realistic option for most SMEs. Where a proven platform like Zoho, Odoo or HubSpot already fits well, we configure that instead, because it is faster to deliver and cheaper to support.

Can a grant cover part of it?+

Possibly, through the right channel. The MSME Digital Grant MADANI is aimed at this kind of digitalisation, offering up to RM 5,000 at 50% matching, but grant-funded purchases must be made through an MDEC-registered Technology Solution Provider. Pexalo is not registered yet, so a grant cannot currently be applied to a Pexalo build. Check the latest terms on MDEC's site before committing, and we will tell you honestly what we think applies to you.

How long does it take?+

A focused single-process build is usually weeks rather than months. A full multi-department operations platform takes longer. You get a scope and a timeline in the recommendation, before you commit to building anything.

What if I only want the AI part?+

Then we will tell you honestly whether your data can carry it. Sometimes it can, and we go straight to an agent. Often the honest answer is that an agent built on scattered spreadsheets will produce confident nonsense, and the foundation has to come first. The workflow audit tells us which situation you are in.

Next step

Not sure whether you need a system or an agent?

Every Pexalo engagement starts with a workflow audit. We review your operations and show you exactly where this fits before anything is built.
